From clients during onboarding: We collect business information needed to set up and manage your account — including business name, contact details, CRM credentials, and any materials you share with us.

From ongoing service delivery: We may access or process data generated through your CRM, email accounts, scheduling tools, and other platforms as part of our Business Admin and operations work.

We collect only the information we need to do the work. We do not purchase data lists or collect data from third-party sources about you.

3. How We Use Your Information

We use the information we collect to:

  • Deliver the services you've engaged us for
  • Communicate with you about your account, deliverables, and results
  • Respond to inquiries or support requests
  • Improve how we operate and deliver services
  • Meet legal and compliance obligations

4. Your Customers' Data

As part of our services, we may process personal data that belongs to your end customers — for example, lead contact information in your CRM. In this context, you are the data controller and we act as a data processor on your behalf.

You are responsible for ensuring you have the lawful basis to share your customers' data with us. We process that data only to deliver your contracted services and do not use it for any other purpose.

5. CRM and Third-Party Platforms

We use a third-party CRM platform to manage client accounts. Client data is stored within dedicated sub-accounts managed under our agency account. The CRM platform has its own privacy policy that applies to data processed on their platform.

Depending on your service tier and agreed scope, we may also use tools such as Google Workspace, Zapier, Make, or others. Each of these platforms has its own data handling practices, which we encourage you to review if relevant to your engagement.

We only use third-party tools that we consider appropriate for the data involved, and we do not share your data with any platform unless it is necessary to deliver your services.

6. Data Sharing

We do not sell, rent, or trade your personal information. We may share data in the following limited circumstances:

  • Service providers: Platforms and tools we use to deliver your services (our CRM platform, Google Workspace, etc.), which are bound by their own privacy terms
  • Legal requirements: When required by law, regulation, or court order
  • Business transfers: In the event of a merger, acquisition, or sale of our business, under confidentiality obligations

Any third party we work with is selected with care and is not permitted to use your data for their own purposes.

We retain your data for as long as your engagement with us is active and for a period of 12 months after your contract ends, to handle any post-engagement queries or disputes.

Contact and inquiry data submitted through our website is retained for up to 24 months.

Data can be deleted earlier upon written request, subject to any legal obligations we may have to retain certain records.

We take reasonable steps to protect your information — including access controls, strong passwords, and limiting data access to team members who need it to do their work.
